Executive Assistant and Office Coordinator

Full time | Junior-Mid Level | Reports to the Chief Growth Officer

In-person (Monday to Friday, 8:30 am – 5:00 pm)

 

POSITION SUMMARY

We are seeking a highly organized and proactive Executive Assistant (“EA”) and Office Coordinator to support our Chief Growth Officer while ensuring the smooth day-to-day operation of our office.

This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys balancing executive support with operational responsibilities. You will play a key role in enabling senior leadership effectiveness while maintaining a well-functioning and professional workplace.

 

WHAT YOU'LL BE DOING:

Executive Support:

  • Provide administrative support to the Chief Growth Officer, including calendar management and meeting coordination.
  • Coordinate internal and external meetings, including scheduling, logistics, and preparation of materials.
  • Assist with the preparation of presentations, reports, and correspondence.
  • Track follow-ups and action items to support timely execution of priorities.
  • Manage travel arrangements and expense submissions, as required.

Office Coordination:

  • Support the day-to-day management of the office environment to ensure a professional and efficient workplace.
  • Coordinate with vendors, building management, and service providers (e.g., office supplies, maintenance, cleaning services).
  • Manage office inventory, supplies, and equipment.
  • Support onboarding logistics for new employees (workspace setup, access, etc.).
  • Ensure meeting rooms and common areas are organized and fully functional.

General Administrative Support:

  • Provide administrative support across teams as needed.
  • Assist with internal events, meetings, and team activities.
  • Support ad hoc projects and initiatives as assigned.


QUALIFICATIONS AND SKILLS:

  • 3–5+ years of experience in an executive assistant, office coordinator, or similar role.
  • Experience supporting senior leaders in a professional services, financial services, or corporate environment preferred.
  • Strong organizational and time management skills with the ability to manage competing priorities.
  • High attention to detail and a proactive, solutions-oriented mindset.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
