Accounting and Administrative Coordinator

Full-time 32-40 hours per week.

Maternity Leave Position.

Whistler Platinum is seeking a full-time Accounting & Administrative Coordinator to join our team to fill a maternity leave vacancy. The ideal candidate is savvy with numbers, has excellent attention to detail, and possesses a positive can-do attitude.


What we’re looking for

  • Strong time management skills and the ability to meet deadlines
  • At least 12 months of bookkeeping or accounting experience
  • Proficiency with spreadsheets, Experience with Quickbooks is an asset
  • High level of integrity, confidentiality and accountability
  • Sound analytical and problem identification and resolution skills
  • Attention to detail and a high degree of accuracy
  • Knowledge of hotel/property management operations is an asset
  • Working knowledge of accounts payable preferred

What you will be doing

You will perform various accounting and administrative tasks supporting the Director of Finance and our operations:

  • Process guest payments
  • Perform accounts payable and accounts receivable data entry
  • Work with internal departments to obtain authorization and coding for invoices before processing
  • Prepare vendor payments
  • Work with internal departments regarding work orders, inventory, and homeowner charges
  • Process inventory sales to homeowner accounts and control inventory.
  • Reconcile owner/guest purchases and charges with vendor invoices
  • Manage and reconcile company credit card purchases and payments
  • Manage and reconcile petty cash
  • Send email payment requests to homeowners
  • Reconcile general ledgers
  • Prepare monthly spreadsheets and reports
  • Manage Accounts email inbox
  • Reconcile and process month-end journals for owners and management company
  • Answer inquiries by phone, email, as needed
  • Collect and distribute mail and packages from the post office
  • Assist internal teams with other administrative duties as needed

Skills you’ll need

  • Solid computer skills, including experience with G Suite or Microsoft 365
  • Ability to work well under pressure and meet deadlines
  • Professional in all forms of communication - email, phone calls, and texts
  • Excellent time management skills with the ability to change activity frequently and cope with interruptions
  • Highly organized and strong attention to detail
  • Adhere to all company policies and procedures
