The Operations Coordinator ensures the smooth running of our operations departments, including contracted housekeeping, inspectors, and maintenance technicians as well as scheduling external contractors. Communications, scheduling, problem-solving, and general administration are the key responsibilities in this role.


What will I be doing?

  • Assist the Operations Managers in the day-to-day coordination of the team
  • Review daily arrivals, report on property status and outstanding work orders
  • Promptly report and communicate incident reports, damage or any issues of concern
  • Maintain up-to-date property records
  • Oversee and maintain kitchen, maintenance and guest amenities inventory
  • Execute seasonal projects
  • Schedule housekeeping, property inspections, maintenance work orders, contractor services and any other operational needs
  • Become an expert on specifics of our vacation homes, providing advice and direction to members of the team regarding troubleshooting of home specific issues
  • Primarily an office-based role, this position will also carry out ongoing inspector shifts in the field to maintain your up-to-date knowledge base
  • Respond to incoming requests efficiently, provide follow up details to other departments
  • To be successful in this position, you will participate in operations training to build your expertise in our portfolio of luxury accommodations. Eg Housekeeping Inspector training
  • Other duties as required – we are a flexible team who work together to support one another – no two days will be the same!

Our Ideal Candidate

  • Previous experience in a hospitality or construction office environment is an asset, specifically with planning, scheduling and coordinating
  • A strong communicator, able to give directions and relay details over the phone or on video calls
  • High-level administration skills - tracking, organizing, reporting, including Excel
  • Thrive in a fast-paced environment, working collaboratively with others to ensure a smooth and efficient operation
  • Ability to foster strong working relationships with all internal and external colleagues
  • Outgoing and friendly, with a positive and solution-focused outlook
