WellFort is seeking a Dental Receptionist to join our Health n’ Smiles team! Health n’ Smiles provides services to under resourced families living in the Region of Peel.
The Dental Receptionist is responsible for the smooth operation of the reception area. Duties include booking appointments, answering phones, collecting payments, confirming insurance coverage, maintaining and balancing cash records and insurance claims, receiving and providing information to clients and the public and providing administrative support to the dental clinic.
Responsibilities:
- Answers calls, books appointments, confirms, does recalls, and referrals.
- Registers clients and enters socio economic data
- Assists clients with intake and registration forms.
- Ensures provider columns are full
- Confirm insurance eligibility and benefit coverage
- Completes and submits insurance forms and claims
- Works with clients and the dental manager on account balances.
- Have clients complete satisfaction survey
- Ensures that all appropriate forms are completed prior to client receiving service.
- Assist clients with forms completion; confirms that forms are accurate and complete.
- Maintains the recall system.
- Maintains the dental contact system.
- Maintains and keeps current all dental records and the dental filing system in a prescribed manner and in accordance with RCDSO guidelines and standards.
- Ensures and protects client confidentiality by keeping information and dental records secure.
- Records and logs “no shows” in the computer.
- Updates client information such as address and phone numbers.
- Receives payments for dental services; records and balances cash and receipts daily.
- Processes and inputs dental claim forms and pre-authorization forms verifying the completeness and accuracy of procedure codes and payment of fees. Follows up on claims that have not been paid to the providers. Processes payment of claims and forwards as appropriate.
- May assist with month end reconciliation and tabulating monthly statistics.
- Determines and confirms insurance coverage, explains costs and insurability to patients.
- Requests signed insurance/dental claim forms.
- Performs administrative support to providers and the manager.
- Maintains the reception area in a professional manner (clean, tidy and free from clutter)
- Maintains inventory and orders office supplies.
- Arranges for repairs and transfers, and tracks and monitors safety of dental equipment.
- Assists with laundry duties.
- Other duties and responsibilities as may be assigned from time to time.
Requirements:
- Successful completion of a Dental Office Administration program or related training is an asset.
- Experience working in a large dental clinic.
- Working knowledge of Abeldent software.
- Experience in a community dental clinic or community health centre.
- Demonstrated experience and knowledge of dental software programs and Microsoft Office.
- Ability to establish and maintain effective relationships with diverse individuals and groups.
- Excellent written communication and oral skills that meet the needs of the individual and/or community at the appropriate literacy level.
- Experience working with confidential and time sensitive documents and information.
- Excellent interpersonal skills and the ability to multitask in a fast paced environment.
- Experience working in a value based non-profit or social services organization.
- Demonstrated ability to work independently and interdependently in an interdisciplinary team environment in which the skills and responsibilities of each team member are recognized and respected.
- Demonstrated proficiency in use of computers and various computer software applications, such as word processing, spreadsheets, database applications and Abeldent software an asset.
- Ability to speak languages relevant to the residents of the organization’s community is an asset.
