Position Summary:
The Administrative Assistant provides essential support to Wanuskewin’s executive, governance, and human resources (HR) functions. This role delivers high‑level administrative assistance to the CEO, maintains accurate and confidential HR documentation, and coordinates all Board of Directors, Committees, and Leadership Team meetings with professionalism and precision. As a trusted partner to senior leadership, the incumbent ensures smooth daily operations by managing complex scheduling, preparing executive communications, and supporting the full employee lifecycle. This position is ideal for a detail‑oriented professional who thrives in a dynamic environment and is motivated by contributing to an organization where culture, community, and purpose guide the work.
Duties and responsibilities include:
· Support the Chief Executive Officer in managing their calendar and scheduling meetings.
· Research, draft, proof, review, and organize communications on behalf of the CEO.
· Management of and accountability for all human resource documentation, including reporting, maintaining personnel files, drafting offer and change letters, and data entry into HRIS.
· Supporting staff through the full employee cycle, including posting of open positions, supporting candidate screening, onboarding employees, identifying and planning training, and offboarding.
· Coordination, preparation, and documentation of all Board, Committee, and Leadership Team meetings.
· Support the CEO in coordinating Board governance processes, including director term tracking and renewals, Board skills matrix maintenance, attendance monitoring, administering annual Board and Committee work plans, and related governance activities.
· Manage incoming and outgoing correspondences, notices, shipments, etc.
· Maintain office supply inventory and coordinate basic office equipment needs.
· Provide general administrative support to the Park on an ad hoc basis.
· Other duties as assigned.
Requirements:
· Post‑secondary education in Business Administration, Human Resources, or related field.
· 3–5 years of experience in executive support or administration.
· Strong understanding of HR processes, employment documentation, and confidentiality requirements.
· Exceptional writing skills for minutes, correspondence, and formal documents.
· Experience supporting Boards or Committees is a strong asset.
· Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
· Must maintain strict confidentiality regarding personnel information, Board discussions, and organizational records.
· Ability to manage competing priorities with accuracy and professionalism.
· Excellent interpersonal, communication, problem-solving and troubleshooting skills.
· First Aid and CPR would be considered an asset.
· A suitable combination of education, training, and experience may be considered.
· Ability to work independently and as part of a team.
Physical Requirements:
· Combination of sedentary and active work, including extended periods of sitting for administrative tasks, planning, and communication along with movement throughout the building.
· Occasional lifting, carrying, and moving of materials.
· Ability to stand for moderate periods.
Additional Requirements:
· A satisfactory criminal record check is required as a condition of employment.
· Wanuskewin is located outside of Saskatoon city limits and public transportation is not available. Reliable personal transportation is required.
· Candidates must possess a valid driver’s license and present a satisfactory drivers abstract.
· May require occasional evening and weekend hours.
