About the Role
We are seeking a Mechanical Office Administrator to support our Equipment Division in North Vancouver. This is an excellent opportunity for someone who enjoys a balanced role that combines strong administrative coordination with exposure to mechanical and equipment operations.

The Mechanical Office Administrator plays a key role in keeping equipment operations running smoothly by supporting maintenance planning, technical documentation, asset tracking, and coordination across multiple projects. Your work will directly impact equipment uptime, compliance, and operational efficiency.

Key Responsibilities
- Provide administrative and technical support to the Equipment Division, coordinating between office, shop, and project teams
- Maintain accurate equipment records, including inventories, inspections, certifications, maintenance logs, and service histories
- Organize and manage technical documentation such as manuals, drawings, specifications, SOPs, and equipment files
- Support equipment reporting, including utilization summaries and performance tracking
- Update ERP and asset‑management systems with equipment data (hours, locations, service intervals)
- Assist with preventive maintenance planning and ensure compliance tracking
- Support safety and regulatory requirements by monitoring inspection schedules and certifications
- Coordinate equipment logistics and assist the Equipment Manager with planning, forecasting, and documentation
- Maintain organized filing systems, prepare meeting minutes, and support audit documentation
- Provide general office support including scheduling, correspondence, and equipment‑related documentation
Education & Requirements
- Diploma or degree in Business Administration or a related field
- 1–3+ years in an administrative role supporting mechanical, equipment, maintenance, or construction operations
(co‑op experience considered) - Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience supporting maintenance processes, inspections, or work orders
- Familiarity with ERP systems, CMMS, or asset‑tracking software is an asset
- Strong documentation, organization, and recordkeeping abilities
- Ability to manage and maintain large volumes of technical data
- Experience with Power BI or reporting tools is an asset
- Strong communication skills with the ability to collaborate across departments
- Professional, service‑oriented approach with dependable follow‑up
- Valid driver’s license (required for shop or site visits)
- Ability to visit project sites or equipment yards when required
