We are seeking a detail‑oriented and proactive Operations Administrator to support our construction and field operations in North Vancouver. In this role, you will provide high-level administrative, documentation, and data management support across active construction projects. With strong skills in Excel reporting, document control, and information management, you will help ensure accuracy, consistency, and the timely flow of information that keeps our projects running efficiently.

Key Responsibilities

Project Administration & Coordination
  • Provide day‑to‑day administrative support to Operations Managers and Superintendents.
  • Documentation & Records Management
  • Develop and maintain organized filing systems for both physical and digital records.
  • Manage document control processes, including drawing revisions, permit circulation, and version tracking.
  • Ensure all documentation meets company, client, and regulatory standards.
Procurement & Subcontractor Support
  • Assist project teams in preparing and processing purchase requisitions.
Financial & Cost Administration
  • Enter, code, and reconcile invoices, timesheets, and equipment usage reports.
  • Work closely with the Operations team to ensure all timecards are completed accurately and submitted on schedule.
  • Coordinate payroll‑related documentation—such as new hire packages, terminations, and rate changes—and communicate requirements to Finance to support accurate payroll processing.
Health, Safety & Environmental (HSE) Documentation
  • Support HSE personnel with document organization, audit preparation, and compliance‑related submissions.

Qualifications

Education & Experience
  • Diploma or certificate in Business Administration, Construction Administration, or a related discipline.
  • 2–5 years of administrative experience in construction, civil, or industrial project environments.
Technical Skills
  • Advanced Excel skills (formulas, pivot tables, data validation, formatting).
  • Advanced Word proficiency for correspondence and document editing.
  • Strong knowledge of MS Office Suite, ERP systems, SharePoint, and document control platforms.
  • Experience with Acumatica (asset).
  • Ability to read and interpret basic construction drawings and specifications (asset).
  • Strong understanding of construction documentation workflows and requirements.
Soft Skills
  • Exceptional attention to detail and accuracy.
  • Strong communication, organization, and coordination abilities.
  • Ability to work independently, manage competing priorities, and meet deadlines in a fast‑paced environment.
  • Professional, positive, and collaborative approach.

Physical & Work Conditions

  • Primarily office‑based with regular interaction with field personnel.
  • Occasional site walks within active construction environments.
  • Ability to work overtime during peak project periods when required.

Compensation & Benefits

  • Competitive salary range: $70,000 – $85,000
