What you’ll be doing

Purchase Request Intake and Review

  • Receive purchase requests from internal departments and review them for basic completeness, including item description, quantity, required delivery date, business justification, vendor information, budget details, and supporting documentation.
  • Review requests to identify whether they appear to relate to an existing supplier, sole source purchase, recurring material purchase, or new sourcing requirement, and flag items requiring Procurement Lead review.
  • Check whether existing quotations are available and flag when updated quotations may be required in accordance with procurement requirements.
  • Follow up with requesters to obtain missing specifications, drawings, scope details, delivery requirements, or approval information before the request proceeds.

Quotation and Vendor Coordination

  • Request quotations from suppliers as directed by the Procurement Lead or where standard procurement requirements indicate updated pricing is needed.
  • Collect and organize comparable supplier information, including price, lead time, availability, quality considerations, warranty terms, and delivery conditions for review.
  • Assist the Procurement Lead by gathering supplier options or pricing information where a new quote or new vendor may be required.
  • Maintain quotation records and save supporting documents in the appropriate procurement, project, or financial records location.
  • Maintain accurate supplier master data, supplier contact lists, pricing records, catalog information, and purchasing system records.

Vendor Setup and Finance Coordination

  • Assist with new vendor setup requests by coordinating with Finance and gathering required supplier information, tax details, payment information, contact information, and other required documentation.
  • Follow up with suppliers and internal stakeholders to collect missing vendor setup information.
  • Notify the Procurement Lead and Finance once vendor setup information has been submitted or when setup delays may affect purchasing timelines.

Purchase Order Tracking and Delivery Coordination

  • Track open purchase orders, blanket purchase orders, supplier confirmations, shipment dates, partial deliveries, and expected delivery timelines for visibility and follow-up.
  • Prepare itemized purchase orders for applicable orders, such as cladding, custom profiles, windows, and similar items, so line-level details are available to support the receiving function when materials arrive.
  • Review blanket purchase orders and related supplier bills at a support level to flag potential overbilling, duplicate billing, remaining balance concerns, or unusual billing activity to the Procurement Lead or Finance.
  • Share delivery updates with Inventory, Material Handling, Receiving, and other affected departments so they are aware of expected shipment dates and incoming materials.
  • Escalate delayed, incomplete, or high-risk orders to the Procurement Lead for direction, supplier follow-up, and resolution.

Supplier Quality Issues, Returns, and Credits

  • Assist with supplier communication and documentation when quality issues, damaged goods, missing items, incorrect shipments, or non-conforming materials are identified.
  • Support portions of the return, replacement, re-shipment, credit note, and supplier follow-up process as directed by the Procurement Lead.
  • Maintain documentation of supplier quality issues and escalate unresolved matters to the Procurement Lead, Quality, Finance, or Receiving as required.
  • Participate in supplier performance tracking by documenting late deliveries, quality concerns, pricing discrepancies, communication issues, and recurring service problems for Procurement Lead review.

Policy Compliance and Procurement Documentation

  • Support compliance with purchase request requirements, quotation requirements, sole source documentation, vendor evaluation documentation, approval requirements, and procurement record-keeping expectations.
  • Maintain procurement files with required supporting documents such as quotations, sole source justifications, purchase requests, purchase orders, supplier confirmations, packing slips, return communications, and related follow-up records.
  • Assist in identifying non-compliant or incomplete purchase requests and route them back for correction or Procurement Lead review before supplier commitment is made.
  • Support Finance with follow-up on invoice discrepancies, missing purchase order references, receiving documentation, and supplier billing questions.
  • Use ERP, purchasing, inventory, or accounting systems to create, update, track, and reconcile procurement-related records, as assigned.

Cross Training with other departments (Inventory and Planning)

  • Gain knowledge of certain processes pertaining to other departments within Supply Chain to provide occasional support when required.

Desired Experience & Qualifications:

The ideal candidate will possess the following skills and qualifications, but even if you don't meet all the criteria, we still encourage you to apply!

  • Post-secondary education in business, supply chain, operations, finance, or a related field is preferred.
