Overview:


Reporting to the Manager, HR & Business Operations, the Reception Assistant’s role will be to answer telephone calls, screen calls, take messages and direct calls to appropriate personnel. Other responsibilities include (but are not limited to):


  • Greet visitors and guests arriving at the office
  • Handle inquiries and requests for information from the general public regarding shows, events and other related items and direct individuals as appropriate
  • Maintain a high degree of discretion and confidentiality in regards to telephone calls and scheduled guest appointments
  • Assist with the info@theex.com email address by providing answers to inquiries or referring inquiries to the appropriate individuals, divisions, or departments across the organization as required
  • Sort and distribute internal and external mail, and incoming facsimiles
  • Call, arrange and prepare documentation for courier services
  • Ensure the reception area, common areas and board rooms are presentable at all times
  • Ensure the availability of drinking water, coffee, and tea for CNE staff and visitors
  • Assist with maintaining accurate inventory and control of all office supplies
  • Other administrative tasks such as filing, photocopying, scanning, mailing and printing as required
  • Perform other duties as assigned

  • Willingness to work in areas that may contain bright lights, loud noises and crowds of people

Qualifications & Educational Requirements:

  • You are self-motivated and detail-oriented, with strong customer service skills.
  • Proficient in email (MS Outlook), and MS Office (Word, Excel)
  • Organized, professional, friendly, and customer service oriented
  • Good multi-tasking and time management skills
  • Well-developed interpersonal and communication skills
  • Ability to work under pressure
  • Problem-solving skills and capacity to deal with ambiguity
  • Flexibility to work evenings and weekends is required

The Canadian National Exhibition Association (CNEA) is a not-for-profit organization that was founded in 1879 for the purpose of fostering the development of agriculture, industry and the arts. The CNEA has a strong and long history of planning and executing the 18-day Canadian National Exhibition (CNE).
