About the role
The Clinical Administrative Coordinator supports the internal systems and processes that help clinicians deliver high-quality care. This role ensures clinician programs, onboarding processes, and professional development activities are organized, documented, and carried out consistently.
You will help maintain structure across administrative workflows, track key processes, and ensure established procedures are followed reliably. This position is well suited to someone who is highly organized, detail-oriented, and motivated by clear expectations and steady execution.
This is a non-clinical role. It focuses on internal coordination rather than direct client care.

What you will do
Coordinate clinician programs
Support the administrative coordination of internal clinical programs and initiatives. Maintain organized documentation, track participation, and help ensure programs run smoothly from planning through implementation.
Support onboarding and role transitions
Prepare onboarding materials, organize required documentation, and help coordinate role transitions. Ensure clinicians have what they need to begin and sustain their work successfully.
Maintain professional development systems
Maintain learning resources, track training completion, and support ongoing professional development activities.
Support staff engagement processes
Help coordinate initiatives that support clinician experience and engagement. Ensure internal information is accurate, current, and accessible.
Protect operational consistency
Follow established administrative workflows and monitor key processes to ensure they are carried out accurately and on time. Identify gaps or concerns and escalate appropriately.
Support cross-functional coordination
Work closely with clinical leadership, operations, and administrative team members to maintain alignment across programs and processes.
Performance and success in this role
This role contributes directly to clinician readiness, program continuity, and operational reliability. Success is defined by consistent, accurate coordination and dependable follow-through.
Success in the position includes:
• Executing administrative workflows accurately and within established timelines
• Ensuring clinician programs and initiatives are organized and run smoothly
• Maintaining clear, up-to-date documentation and tracking systems
• Identifying risks or gaps early and escalating appropriately
• Supporting clinicians so they feel prepared, informed, and well supported
You will be supported with clear expectations, structured workflows, and regular feedback.
Qualifications
• Experience in an administrative or coordination role, ideally within a multidisciplinary or larger pediatric setting
• Strong prioritization and organizational skills, with exceptional attention to detail
• Demonstrated ability to manage multiple workflows while maintaining accuracy and consistency
• Comfort working within structured processes and established systems
• Strong written and verbal communication skills
• Professional, respectful communication style with the ability to build positive working relationships across teams
• Sound judgment and dependable follow-through
• Experience supporting clinician teams, coordinating training or internal programs, or working within a multidisciplinary environment
• Familiarity with Jane or similar practice management software is considered an asset
