Position Description

Currently, Tetranex is seeking a full-time Office Administrator to manage the front desk and support the smooth running of day-to-day office operations. This position will provide administrative, facilities, and employee support and serve as a key point of contact for employees, clients, visitors, vendors, and building management. As the first point of contact for our office, you will play an important role in maintaining a welcoming, efficient, and professional work environment.

Working Hours: 8:00AM – 5:00PM, Monday to Friday (in-office)


Responsibilities:

Front Desk & Office Administration:

  • Serve as the main point of contact at the reception desk and provide a professional and welcoming experience for employees, clients, and visitors.
  • Answer and route incoming calls and respond to or direct general inquiries from staff and visitors.
  • Handle incoming and outgoing mail and deliveries.
  • Follow and support office safety and visitation protocols.
  • Manage office administrative email correspondence and ensure requests are addressed or directed appropriately.
  • Coordinate conference room bookings and meeting requirements.
  • Organize lunch orders for office meetings and team events as needed.
  • Monitor, stock, and order supplies for kitchens, boardrooms, printer stations, and other office areas.
  • Maintain office contact lists, seating plans, parking assignments, and other administrative records.
  • Coordinate and support company events, staff activities, and meetings.
  • Manage internal communications and company-wide announcements as required.
  • Provide general administrative support to employees and management as required.

 

Office Operations & Facilities:

  • Act as the initial point of contact for routine building and facility-related concerns and coordinate with building management or service providers as required.
  • Assist with office equipment, furniture, and supply maintenance, troubleshooting, and purchasing as required.
  • Manage the office access card and phone systems.
  • Utilize the building management system and coordinate requests as needed.
  • Help maintain clean, organized, and functional kitchens, boardrooms, meeting spaces, and common areas.
  • Support the overall upkeep and functionality of the office to ensure a safe, efficient, and professional work environment.

 

Additional Support & Administration:

  • Assist with staff onboarding and offboarding, including coordinating access, equipment, and other administrative requirements.
  • Provide administrative support for Health, Safety & Environmental (HS&E) activities, communications, and documentation as required.
  • Support general business administrative functions.
  • Provide administrative and project support to management and project teams as required.
  • Assist with company initiatives, special projects, and ad-hoc assignments.
  • Perform other office-related duties as required to support daily operations.
