Coordinator, Finance & Operations 

Status: Full-Time, Salaried 

Salary (hiring range): $50,000 and $58,000, plus health and dental benefits (after three months) and RRSP and/or TFSA matching (after two years of service)  

Hours of Work: 37.5 hours per week – Monday to Friday. This position does require travel and a flexible work schedule, working evenings, weekends, and overnights. 

Location: Virtual Working with possible travel. (1-2 days per week in-person, if based in GTA or Montreal)

Role Overview 

We are seeking a detail-oriented and highly organized Coordinator, Finance and Operations to support the day-to-day financial, accounting, payroll, and administrative functions of our organization. Reporting to the Finance Lead, this role is responsible for assisting with financial reporting, budgeting, bookkeeping, payroll administration, compliance reporting, and funder reporting across multiple programs. 

The Coordinator, Finance and Operations will contribute to the SCC’'s financial integrity and operational effectiveness by supporting the full accounting cycle, preparing financial analyses and reconciliations, maintaining payroll and HR records, and providing administrative support as needed. About the Role 

What will you do? 

REPORTING/FINANCIAL ANALYSIS DUTIES 

  • Assist in preparation of monthly financial statements and budget variance analysis. 
  • Assist in preparation and monitoring the corporate annual budget and forecast. 
  • Assist in preparation of cash flow reporting and analysis. 
  • Assist in preparation of year-end financial statement review for public accountants. 
  • Develop an excellent understanding of program funding agreements to assist in preparation of the reporting for multiple programs to funders and maintain supporting documentation for compliance. 

BOOKKEEPING DUTIES: 

  • Assist with the full accounting cycle. 
  • Data entry via QBO of all receivables, payables, and journal entries with appropriate supporting documentation.  
  • Prepare and reconcile AP reports for payment approval 
  • Prepare online bank payments for approval 
  • Reconcile credit card statements with receipts for payment 
  • Maintain current vendor list 
  • Create all invoices and maintain program partner invoice schedules  
  • Prepare and reconcile AR reports  
  • Prepare and process all bank deposits 
  • Maintain an orderly accounting filing system. 
  • Assist in preparation of significant account reconciliations as required. 

PAYROLL DUTIES: 

  • Prepare regular payroll package including employee changes for processing with external payroll provider 
  • Review timesheets and allocate to appropriate program 
  • Track and process honoraria payments 
  • Process expense claims with proper documentation 
  • Assist with payroll compliance reporting including T4A’s  
  • Manage HR files  

OTHER OPERATIONAL DUTIES: 

  • Supporting the employee management cycle processes. 
  • Contribute to the success and growth of SCC by assisting with various tasks as requested 

 

QUALIFICATIONS AND REQUIRED SKILLS

  • A degree or diploma in Accounting, Finance, Business Administration, or equivalent work-related experience. 
  • Thorough knowledge of Accounting Principles.  
  • Minimum three (3) years accounting and payroll processing experience preferably in a non-for-profit setting. 
  • Proficient with QuickBooks Online. 
  • Sound knowledge of Microsoft Office 365 (Excel, Word, Outlook). 
  • Strong verbal and written communication. 
  • Strong organizational and time management skills for prioritizing demands, workflow, and meeting deadlines. 
  • Strong analytical skills and attention to detail. 
  • Proven ability to work in a collaborative environment 
  • Self-motivated and comfortable working independently 
  • Bilingualism English/French (asset)
