Job Description

We are seeking an Accounting Administrator who will play an essential support role in our accounting department. The ideal candidate will possess a high level of attention to detail and accuracy, exceptional organizational skills and the ability to manage multiple tasks efficiently and on time. As a member of a dynamic team, you will perform various general accounting tasks with a primary focus on accounts payable.


Primary Responsibilities

  • Issue purchase orders. Ensure invoices are consistent with purchase orders and correct approvals are obtained. Resolve discrepancies as required.
  • Receive and review vendor invoices and ensure they are entered accurately and on time.
  • Sort, classify and code invoices and expenditures appropriately and according to company standards and procedures.
  • Maintain accurate and organized accounts payable records and reconcile accounts monthly.
  • Independently engage with staff across all departments to gather required information and resolve outstanding issues.
  • Maintain new and existing vendor information. Communicate with vendors regarding invoice discrepancies, payment inquiries, and other issues.
  • Ensure all records are filed and organized.
  • Identify opportunities for process improvements to enhance efficiency and accuracy in accounts payable operations.
  • Manage the accounts payable inbox and triage emails appropriately.


Additional Responsibilities

  • Additional responsibilities may include, but are not limited to, managing inventory, reconciling credit card and employee expense entries, and recording transactions for various financial processes.
  • Provide support to other accounting staff and assist with month-end processes, including reconciling accounts, preparing reports, and supporting the overall financial close.
  • Project work.
  • Other duties as assigned by the Accounting Manager.

Requirements

  • High school diploma or equivalent.
  • Diploma or certificate in bookkeeping or accounting.
  • Minimum 1 year of accounting experience. 2 years + of experience or an equivalent combination of education and experience is considered an asset.
  • Proficient in Microsoft Office Suite, especially in Excel.
  • Authorized to work in Canada.
