Scale Collaborative is a dynamic, growing organization that supports Canada's social impact ecosystem through capacity-building training and coaching, consulting, and access to financing to support organizational growth. We work across three companies and an associated charity. Together, we have over $2 million in revenue and a team of 14 employees.


We are seeking a Finance and Operations Manager to play a key leadership role in strengthening our financial and operational infrastructure. This position focuses on optimizing processes, driving efficiencies, and supporting strategic growth. There is a detailed job description below.


What You Will Do

  • Lead and oversee financial processes, including budgeting, forecasting, and reporting.
  • Manage loan administration, contract compliance, and risk management functions.
  • Develop scalable operational frameworks to support organizational growth.
  • Oversee human resources administration, including payroll and benefits management.
  • Optimize IT systems and liaise with vendors to ensure operational needs are met.
  • Collaborate across organizations to unify processes and enhance inter-organizational synergies.


Who You Are
You are an experienced financial and operations professional with a strategic mindset and a passion for social impact. You thrive in a dynamic environment, enjoy streamlining processes, and have a strong understanding of financial and operational management. You are an excellent communicator, a collaborative team player, and eager to help Scale Collaborative achieve its growth goals. Ideally you have a CPA or at least five years of related work experience.

JOB DESCRIPTION


OUTCOMES

The Finance and Operations Manager supports the dynamic and growing Scale Enterprises, its two subsidiaries, and an associated charity. The role oversees and optimizes financial and operational processes to ensure compliance, efficiency, and alignment with organizational goals. Key responsibilities include leading budgeting, forecasting, financial reporting, and overseeing human resources and information technology systems.


RESPONSIBILITIES


Financial Management

  • Oversee full-cycle accounting processes with accurate and timely reporting.
  • Prepare and present monthly, quarterly, and annual financial statements.
  • Lead budgeting and forecasting processes.
  • Ensure compliance with financial regulations and internal policies.
  • Reconcile accounts, including bank statements, accruals, prepaids, and deferred revenues.
  • Maintain and oversee fixed asset tracking and reporting.
  • Develop financial policies and improve cost controls.
  • Issue charitable tax receipts to eligible donors.
  • Support year-end reviews and liaise with external accountants to ensure filings are timely and accurate.


Loan Administration

  • Manage administrative and financial aspects of loan processes.
  • Prepare and maintain accurate loan documentation.
  • Oversee loan disbursements, including security registration and banking setups.
  • Maintain loan repayment schedules and internal reporting.


Risk Management and Insurance

  • Develop and maintain a risk management register and provide regular updates.
  • Conduct regular risk assessments and develop mitigation strategies.
  • Ensure insurance policies are up-to-date, adequate, and aligned with needs.
  • Manage claims, renewals, and liaise with insurance providers.


Operations and Compliance

  • Develop and maintain efficient operational processes for continuous improvement.
  • Develop scalable, optimized operational frameworks and workflows to support long-term organizational growth.
  • Ensure compliance with laws, regulations, and internal standards.
  • Develop and maintain clear documentation for all processes outlined in this job description.


Human Resources Administration

  • Administer HR systems, benefits, and payroll processes including issuing T4s and ROEs.
  • Track and report employee time-off and leave balances.
  • Oversee benefits administration, including enrollment, changes, and communication with employees.
  • Manage the annual renewal process for the benefits plan.
  • Ensure compliance with provincial and federal benefits regulations.
  • Manage Workers’ Compensation Board (WCB) claims and ensure employment standards compliance.


Contract Management

  • Oversee contract preparation, execution, and compliance.
  • Ensure alignment with organizational objectives and budgets.
  • Evaluate contractor performance and address discrepancies.
  • Maintain centralized contract tracking and renewals.
  • Issue T4As to eligible subcontractors.


Information Technology and Systems Management

  • Oversee IT assets and software licenses.
  • Manage implementation and integration of software solutions.
  • Act as liaison with IT vendors to ensure systems meet organizational needs.


Leadership and Collaboration

  • Advise the Managing Director and senior leadership on financial and operational matters.
  • Collaborate across all four organizations to unify processes and enhance inter-organizational synergies.
  • Contribute to strategic growth by identifying and implementing best practices in financial and operational management.
  • Build and maintain strong relationships with stakeholders, vendors, and financial institutions.
  • Foster a culture of accountability and excellence.
