SB HR Management is excited to share this exciting opportunity, Director of Finance & Administration, with our client Ontario University Athletics (OUA). OUA is the governing body of university sport in Ontario and a recognized leader and contributor to the Ontario and Canadian Sport System. POSITION DESCRIPTION
The Director of Finance and Administration will be a key strategic leader and report to the Chief Executive Officer (CEO). The successful candidate will be a hands-on and participative manager and will lead and develop an internal process to support the following areas: finance, business planning and budgeting, human resources, administration and IT.
The Director of Finance and Administration will play a critical role in partnering with the OUA’s senior leadership team in strategic decision making and operations as OUA continues to enhance its quality programming and build capacity. The role will work closely with the OUA Finance Committee and Chair.
This is a tremendous opportunity for a finance and operations leader to maximize and strengthen the internal capacity of the OUA.
KEY DUTIES
Financial Management
- Responsible for all accounting entries which result in timely and accurate financial statements and management reports
- Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all sponsor segments, and oversee all financial, project/program and grants accounting.
- Coordinate and lead the annual audit process, liaise with external auditors and the finance committee and/or treasurer of the board of directors; assess any changes necessary.
- Oversee and lead annual budgeting and planning process in conjunction with the CEO; monitor progress and changes and keep senior leadership team abreast of the organization’s financial status.
- Manage organization’s cash flow, cash management and forecasting. Administer policies relating to cash flow, A/P, revenue collection and collection of membership and registrant fees and fines.
- Maintain a contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
- Administer all necessary business policies and accounting practices; improve the finance department’s overall processes, policies and procedures.
- Responsible for managing all payroll and vacation; work closely with payroll service provider and ensure all practices meet with CRA and Ministry of Labor protocol;
- Support the management, filing/storage and accessing of all key OUA financial records, organizational policies and Board and Committee decisions.
- Work closely with all Referee/Officials organizations and Provincial Sport Organizations to monitor game expenses and oversee related Officials contracts and administer the member collections and payments
- Ensure proper oversight of all OUA Core and Project spending and implementation of tracking and control system for expenses
- Effectively communicate and present the critical financial matters to the Board of Directors
Administration & Operations
- Provide leadership in the organization and work of the OUA Board of Directors, including establishing meeting schedules, agendas and distribution of related meeting materials
- Oversee the overall organization and fiscal management of OUA’s Annual General Meeting, Special Meetings and Finance Committee meetings including circulating meeting minutes, information packages, motions etc.
- Oversee the application process and administer the Ministry of Sport and Government Grant programs – working closely with the CEO and Government Relations groups.
- Responsible for all Human Resource management including recruitment, employee contracts, new hire training, maintaining the HR Handbook, managing payroll, time off management while ensuring compliance with HR policies;
- Manage the IT, Office administration, the Facility lease agreements and selected Operations for the OUA office
- Work closely and transparently with all external partners including third-party vendors and consultants.
QUALIFICATIONS
- Minimum 5 years in a financial management role, including supervisory experience;
- A university degree in accounting, business administration or related field;
- CPA designation preferred;
- Experience in the sports industry and the not-for-profit sector is considered an asset;
- Strong presentation and communication skills;
- Comfortable working in a fast-paced environment;
- Can move between working independently and collaboratively as needed;
- Proficient in MS Office and Quickbooks;
- Proficient in payroll and experience with HRIS systems;
- Prioritize and manage multiple tasks, with the ability to set and meet deadlines;
- Ability to work a hybrid schedule that requires attendance at in-person staff meetings, retreats, special events, and championships;
- Expectation to work out of the Burlington office regularly, with the ability to work weekends and evenings during the Championship season and flexibility to adapt to a non-regular work schedule during peak seasons

The salary range for this position is $110,000-$120,000 annually. Final compensation will be determined based on the selected candidate's qualifications, experience and skill set.
