Since our founding in 2006, we have supported over 40,000 individuals and families, and have become a global leader in advocating for LGBTQI+ rights within the context of forced displacement. We are one of few organizations that work as direct service providers, advocates, thought leaders, and movement strategists to address global queer forced displacement. Our mission is guided by a commitment to becoming a refugee-informed and refugee-led organization, centering the voices, leadership, and experiences of LGBTQI+ people affected by forced displacement.

The Role:
Reporting to the Chief Impact Officer, the “Crisis response and Grass root mobilization funds Officer” supports the coordination and administration of Rainbow Railroad’s global partnerships and grassroots mobilization work.
This position bridges strategic engagement with operational delivery. The Officer will help manage grantmaking processes, partner communications, and research activities while maintaining strong administrative systems that support programs like the Queer Forced Displacement Initiative (QFDI) Crisis Response Fund.
It is ideal for an early-career professional who combines exceptional organizational skills with a deep commitment to global human rights, humanitarian response, and LGBTQI+ justice.
Key Responsibilities
1. Partnerships & Grassroots Mobilization Support- Assist in coordinating relationships with grassroots collectives, NGOs, and human rights defenders across Rainbow Railroad’s regions of work.
- Support the review, organization, and documentation of funding applications and partner assessments.
- Track partner deliverables, reporting requirements, and milestones in collaboration with the MEL and Finance teams.
- Maintain accurate and organized partner records in Salesforce and shared drives.
- Support meeting preparation, including scheduling, agendas, note-taking, and action follow-up.
- Coordinate the full Memorandum of Understanding (MoU) cycle: drafting, signature collection, archiving, and compliance tracking.
- Monitor programmatic and financial reporting timelines to ensure timely submission and follow-up.
- Manage shared inboxes (e.g., Partnerships and Crisis Fund) to route inquiries, flag priorities, and ensure timely responses.
- Liaise with the Finance team to support fund disbursements and partner documentation requirements.
- Maintain and update Salesforce dashboards and records to ensure accurate tracking of all partnership and grant-related data.
- Conduct desk research on LGBTQI+ rights, humanitarian trends, and grassroots organizations relevant to Rainbow Railroad’s strategic focus.
- Prepare concise partner profiles, regional mappings, and briefing notes for internal and external use.
- Support monitoring, evaluation and Learning (MEL) activities by collecting, organizing, and synthesizing partner data.
- Identify new civil society organizations and actors aligned with Rainbow Railroad’s mission and values.
- Schedule and coordinate internal and external meetings across all departments..
- Draft and format correspondence, presentations, and reports related to the portfolio.
- Support internal communication and ensure follow-up actions are completed timely.
- Bachelor’s degree in international relations, human rights, political science, or related field — or equivalent work experience.
- 1–3 years of relevant experience in nonprofit administration, partnerships, grant management, or human rights programming.
- Experience with CRM systems (Salesforce preferred) and strong working knowledge of Google Workspace (Docs, Sheets, Drive).
- Familiarity with issues affecting LGBTQI+ communities, including displaced and refugee populations.
- Strong organizational and time management skills, with high attention to detail.
- Excellent written and verbal communication skills; French or Spanish an asset.
- Ability to manage multiple priorities, work independently, and collaborate effectively across teams.

Hiring Salary – $60,000/year plus a comprehensive benefits package including HSA, health and dental insurance, three weeks’ vacation, 16 wellness days, and a two-week holiday closure at the end of the year.
