We are looking for a Finance Assistant to support our dynamic Finance team. In this role, you will assist and support in the core areas of finance through various tasks like Accounts Receivables, Accounts Payables, Donations Processing and tracking and oversight of mail.
SPECIFIC JOB RESPONSIBILITIES:
Administration
- Assist with managing the shared Finance emails
- Manage collection of various support receipts for payables
- Provide assistance with both interim and year-end file preparation and reconciliation support where required
- Provide assistance with payroll timesheet tracking and ensuring records are accurate
- Prepare and remit government remittances and reports within mandated timelines
- Provide administrative support such as receipt organization and electronic filing
- Support with other various tasks in support of the Finance department
- Be in regular communication with the Power To Be Finance Coordinator and Bookkeeper
- Ensure that all bookkeeping is accurate, up to date and organized
- Participate in internal reporting functions and processes as required
- Follow all standard operating procedures, policies, and departmental guidelines
- Adhere to Financial Controls, Income Tax Act, CRA guidelines and related standards
- Understand, and implement proper fiscal controls as needed
- Be a support to co-workers, volunteers and stakeholders; assist co-workers with their responsibilities in their absence as required
- Contribute to a positive and dynamic working culture
- Adhere to all Power To Be policies and guidelines, and applicable legislation as they relate staff and volunteer practices
Accounts Receivables & Payables
- Utilize Power To Be’s bookkeeping system to assist with posting expenses and payables
- Assist with completing invoicing, revenue tracking, bank account reconciliation, bank deposits and revenue related transfers
- Process donations and tax receipts per Financial Controls and Policies and CRA Guidelines
- Oversee and manage the staff Visa receipt and reconciliation process
- Ensure accuracy of financial documents for payments, maintain meticulous records of outstanding payables, and ensure payments are made to vendors in a timely manner
Programs
- Participate in a Power To Be program once per quarter
Performs other related duties, as required

Job Requirements:
- As per the Ministry of Justice requirements for organizations that work with vulnerable populations, a Criminal Record Check (CRC) and Criminal Record Review Act Check (CRRA) will be required
- Proof of vaccination against Covid-19
- Minimum of three-years bookkeeping experience, a combination of related education and experience or demonstrated transferrable skills
- Access to reliable transportation to get to and from work at Prospect Lake
- Perform general accounting duties with attention to detail and awareness of timelines
- Positive attitude with strong ability to work in an ever-changing environment
- Exceptional phone communication ability
- Handle multiple tasks and projects; prioritize, organize and problem solve effectively
- Ability to handle confidential information professionally and with discretion
- Team player that takes pride in continually raising the standards of performance and development for themselves, as well as those around them.
- Demonstrated competency with MS Office Suite with intermediate level Excel skills or higher
- Excellent verbal and written communication skills.
Assets:
- Previous experience with non-profit finance administration is an asset but not required
- Experience with Xero
Terms of Employment
Location: Prospect Lake, Saanich BC with occasional opportunities to work from home (Hybrid)
Position: Finance Assistant
Reports to: Director of Finance
Hours: 40 hours per week, the Operations Team typically works between the hours of 8:30-5pm Monday to Friday
Compensation: $50,000 - 55,000 per year
