The Role

The Project Coordinator will play a key supporting role in the successful coordination and execution of infrastructure projects within the P3 environment during design, construction, and facilities management phases.  Working closely with project leadership and cross-functional teams, the role will assist with project administration, reporting, meeting coordination, document control, stakeholder engagement activities, and tracking of key deliverables across active projects. The role will support multiple projects, including two local projects within the region such as the Prince George’s County Public Schools Blueprint Phase II project and the University of Maryland NextGen Energy Program.

 

Responsibilities

Project Coordination & Delivery

  • Serve as an integral member of the project management team, supporting Design, Construction, Operations and Asset Management while coordinating with cross-functional teams as required.
  • Coordinate project team schedules, meetings, submittals, and document control including preparation of meeting agendas, minutes, and tracking of action items and deliverables.
  • Support project coordination activities associated with local projects, including site visits and stakeholder meetings as required.
  • Assist project management team with ad hoc tasks relating to projects.

 

Stakeholder & Contract Support

  • Liaise with clients, partners, contractors and other project related personnel and effectively communicate relevant project information to ensure a seamless operation of the project throughout all project phases.
  • Support all aspects of contract management including notices, change and purchase orders, warranties and any on-site coordination.
  • Manage change order database and advise Project Managers of the status and any issues impacting client relations.
  • Monitor deliverables, quality of work and pricing with contractors and other service providers.

 

Reporting & Documentation

  • Prepare and distribute project related correspondence including reports, letters, RFIs, presentations and other confidential communications.
  • Prepare change order documentation for client and subcontractors.
  • Prepare standardized templates for project documentation and tracking
  • Ensure the adherence of project control procedures and maintain all project related documentation.

 

Qualifications

  • Post-secondary education in Business, Project Management, Engineering or other design/construction related courses.
  • 2+ years of working experience in project coordination – specifically within construction, facility management or P3 projects.
  • Excellent verbal, written, and interpersonal communication skills
  • Strong knowledge of Microsoft Office and excellent writing and editing skills.
  • Effectively manage multiple projects of varying size and complexity under tight deadlines.
  • Strong work ethic and high level of personal and professional integrity.
  • Work positively within a cohesive team to achieve the common goals.
  • Knowledge of construction and/or facility management processes and terminology is preferred.
  • Experience using Sharepoint and scheduling or project management software would be an asset.
