What We Do

We're looking for a Marketing & Event Coordinator to manage Optable's presence at industry conferences and support our broader marketing initiatives. While 75% of your time will focus on end-to-end event execution—from pre-event planning and logistics to on-site coordination and post-event follow-up—you'll also play a key role in coordinating marketing campaigns and ensuring seamless execution across channels. This role is critical to building Optable's brand, generating pipeline, and strengthening relationships with clients, partners, and prospects across the advertising technology ecosystem.

What You'll Do

Event Planning & Execution

  • Plan and execute Optable's participation in 15-20 industry conferences annually (CES, IAB events, Programmatic I/O, etc.)
  • Coordinate booth logistics, sponsorship activations, speaking opportunities, and hospitality events
  • Manage event budgets, vendor relationships, and contract negotiations
  • Develop event timelines and run-of-show documents to ensure flawless execution
  • Collaborate with marketing and sales teams to develop pre-event promotion strategies
  • Coordinate meeting scheduling with prospects, clients, and partners attending events
  • Manage lead capture processes and ensure timely post-event follow-up
  • Track event ROI and develop reports on attendance, pipeline impact, and brand visibility

Marketing & Lead Generation

  • Collaborate with marketing and sales teams to develop pre-event promotion strategies & outreach
  • Coordinate meeting scheduling with prospects, clients, and partners attending events
  • Manage campaign tracking & lead capture processes and ensure timely post-event follow-up
  • Track event ROI and develop reports on attendance, pipeline impact, and brand visibility
  • Manage campaign timelines and ensure deliverables are completed on schedule

Cross-Functional Coordination

  • Work closely with sales, marketing, product, and executive teams to align event objectives with company goals
  • Brief executives and team members on event strategies, talking points, and meeting schedules
  • Coordinate internal teams' travel, accommodations, and on-site schedules
  • Manage swag inventory, booth materials, and event collateral

Internal Events & Coordination

  • Plan and execute internal company events including team offsites, social gatherings, and office celebrations
  • Manage company merchandise ordering and distribution to new employees and team members
  • Coordinate logistics for engineering and product team events and activities such as Tech Talks & Meet Ups
  • Serve as backup support for internal catering and employee programs when other team members are unavailable
  • Work closely with Head of People on employee engagement initiatives and company culture events

Relationship Management

  • Build relationships with event organizers, industry associations, and venue partners
  • Identify new event opportunities aligned with Optable's target markets
  • Coordinate client dinners, VIP experiences, and private meetings at major events
  • Support internal company events and team offsites as needed

Who You Are

Required Experience

  • 3-5 years of event coordination experience, preferably in B2B technology, SaaS, or advertising technology
  • Proven track record managing trade show booths, sponsorships, and conference activations
  • Experience coordinating events with budgets ranging from $10K to $100K+
  • Strong project management skills with ability to juggle multiple events simultaneously

  • Proficiency with event management tools, CRM systems (Salesforce preferred), and project management software
  • Willingness to travel 30-40% of the time, including occasional weekends
  • Calm under pressure with excellent problem-solving abilities

Nice to Have

  • Familiarity with advertising technology, programmatic advertising, or privacy/data compliance landscape
  • Experience with virtual and hybrid event platforms
  • Graphic design skills or experience coordinating creative production
  • Existing relationships with industry event organizers or venues
