The National Judicial Institute (NJI) is an independent, bilingual, not‐for‐profit organization, based in Ottawa and Montreal, with a mandate to provide continuing education to members of the judiciary across Canada. An acknowledged world leader in the design and delivery of judicial education, the NJI also shares its expertise in judicial training abroad. In its international work, the NJI seeks to strengthen the rule of law through judicial education and judicial reform.

Since its inception in 1988, the NJI has offered in-person programs and a wide range of digital resources designed to foster judicial excellence. As part of its curriculum, the NJI delivers over 70 in-person judicial education programs each year. The NJI’s digital resources include self-study courses, Electronic Bench Books, podcasts, videos, judge-facing tools, and more. Alone or in partnership with courts and other organizations, the NJI delivers the majority of the education provided to judges in Canada. 

 

The NJI is seeking a Project Management Officer to cover a maternity leave of up to 14 months. This position is based in Ottawa, ON and requires fluency in both official languages.

 

RESPONSIBILITIES


The Project Management Officer (PMO) plays a central role in planning, scheduling, and monitoring operational work plans across the organization, with a focus on Operational, Human Resources (HR) and Information Technology (IT) projects. The PMO works collaboratively with department managers to track project progress, report on goals, follow up on deliverables, and adjust work plans as needed to ensure successful outcomes.


What You Will Do

  • Plan, schedule, and monitor work plans for Operations, including HR and IT initiatives.
  • Collaborate with department managers to track progress against project goals, provide updates, and adapt plans as required.
  • Organize and facilitate regular meetings with managers and stakeholders; prepare agendas, record decisions, and maintain project and budget tracking templates.
  • Develop reports and presentations to keep the Director of Operations informed on project status.
  • Stay up to date on project tracking technologies and best practices, and design tools that enhance effectiveness and efficiency in project management.
  • Train employees on project management software and champion the adoption of efficient tracking systems.
  • Provide operational support by liaising with stakeholders, managing office resources, and coordinating IT and training logistics.
  • Track action items, monitor deadlines, and ensure timely completion of activities related to Operations initiatives.
  • Support financial processes by obtaining supplier quotes, preparing cost estimates, and reviewing invoices.

You are proactive and adaptable, comfortable tracking action items, following up on deliverables, and ensuring deadlines are met. You enjoy creating tools and systems that improve efficiency, and you stay current with project‑tracking technologies and best practices. You are confident in preparing reports and presentations, championing the use of project management software, and supporting cross‑functional operational initiatives with professionalism and integrity. You maintain discretion, protect confidential information, and build positive working relationships with colleagues and partners.

 

QUALIFICATIONS

Essential

  1. Post-secondary diploma or degree in Business Administration or related discipline (or: an equivalent combination of experience, training and education);  
  2. Minimum of 3 years of experience in project management;
  3. Experience developing project planning, scheduling guides and templates;
  4. Experience chairing meetings;
  5. Experience writing and presenting reports;
  6. Fluently bilingual in French and English (R/W/O);
  7. Proficiency with Microsoft 365; and
  8. Proficiency in Project Management Software, such as Asana.

 

Desirable

  1. Project Management Professional (PMP) certification; and
  2. Change Management Certification.

 

COMPENSATION

Compensation will be determined at the time of hire, based on the successful candidate’s experience and qualifications. The salary band for this role is $70,482 – $88,103 annually, with a current hiring range of $70,482 – $80,000.
