Position Title: Employment Retention Specialist 

Location: This position is primarily based at 355 Church St, Toronto, ON M5P-2G7, requiring travel to 245 Fairview Mall Dr, North York, ON M2J-4T1, once a week and to 295 The West Mall, Etobicoke, ON M9C 4Z4, once a week, to fulfill program needs.

Position Summary 

Newcomer Women’s Services Toronto (NEW) is seeking a results-driven Retention Specialist to support the successful operation of our Integrated Employment Services (IES) program. The core of IES is to help clients achieve sustainable employment and economic independence.  

This role plays a critical part in ensuring clients successfully retain employment and progress toward long term stability, while supporting the organization in achieving its Performance Based Funding (PBF) and Star rating targets. This role is primarily responsible for achieving and exceeding 3, 6, and 12-month employment retention targets by maintaining consistent engagement with clients and employers and ensuring all required checkpoint documentation is secured, accurate, and submitted on time. 

The Retention Specialist plays a critical role in driving measurable outcomes, supporting long-term employment success, delivering workshops, and providing resume development support to complement Employment Consultant services. 

This is a high-performance, target-driven role requiring strong time management, the ability to work under pressure, and a commitment to achieving monthly and annual performance deliverables while maintaining a client-centered and team-oriented approach. 

 

Key Responsibilities 

Client Retention & Performance Outcomes 

  • Actively engage with employed clients to achieve and exceed monthly and annual 1, 3, 6, and 12-month retention targets.  
  • Conduct structured follow-ups with clients at 1, 3, 6 and 12 months to verify employment status and secure required documentation within defined timelines.  
  • Build and maintain strong relationships with clients to maximize retention outcomes and minimize attrition.  
  • Identify and address barriers proactively to ensure clients remain employed and successfully reach checkpoint milestones.  

Checkpoint Documentation & Accountability 

  • Ensure 3, 6-and 12-month checkpoint documentation is collected, verified, and submitted accurately and on time to meet funder requirements.  
  • Maintain a high level of data integrity and compliance within CRM systems (e.g., CaMS, FFAI, Salesforce).  
  • Track personal performance against targets and take proactive steps to close gaps and improve outcomes.  
  • Demonstrate strong time management and prioritization to meet competing deadlines and reporting requirements.  

Workshops & Client Skill Development 

  • Design and facilitate impactful workshops focused on job retention, workplace success, and career progression.  
  • Provide resume development and retention support to clients requiring additional assistance beyond Employment Counsellor services. 
  • Continuously evaluate and adapt workshop delivery to improve client engagement and program results.  

Employer Engagement & Verification 

  • Maintain consistent communication with employers to confirm employment status and support retention verification processes.  
  • Build strong employer relationships to ensure timely cooperation in providing required checkpoint documentation.  
  • Collaborate with Job Developers and Employment Counsellors to align on client success and retention strategies.  

Team Contribution & Continuous Improvement 

  • Collaborate with team members to share best practices and improve overall program performance.  
  • Contribute to identifying trends and opportunities to increase retention rates and service effectiveness.  
  • Support a results-oriented team culture focused on accountability, collaboration, and client success.  

 

Education and Experience 

  • Post-secondary education in social services, human resources, or a related field, or a mix of education and equivalent experience.  
  • Minimum 2 years of experience in employment services, customer service, client engagement, or retention-focused roles.  
  • Proven experience working in target-driven or performance-based environments.  
  • Experience with Employment Ontario or similar programs is an asset.  
  • Demonstrated ability to build rapport and sustain long-term client and employer relationships.  

Technical Skills 

  • Proficiency in CRM and data systems (e.g., CaMS, Salesforce, FFAI or similar).  
  • Strong Microsoft Office skills (Excel, Word, PowerPoint).  
  • Familiarity with privacy legislation (FIPPA, PIPEDA).
