We are seeking a dedicated and customer service-oriented Office Manager to join our team and oversee the efficient operation of our office for temporary coverage (2 months).

Compensation: $21/hour


Responsibilities:

  1. Reception Services:
    • Answer incoming calls and direct them to the appropriate individuals or departments.
    • Welcome visitors, clients, and employees, ensuring a professional and friendly atmosphere.
    • Prepare coffee in the morning for tenants.
    • Assist individual clients with tasks such as handling packages, printing, and mail.
  2. Clean Up and Maintenance:
    • Maintain cleanliness and tidiness of the office premises.
    • Wipe down tables and ensure the boardroom is presentable for meetings.
    • Move furniture around the office as required for new tenants.
    • Coordinate and oversee office showings for potential tenants.
  3. Customer Service:
    • Provide exceptional customer service to clients and visitors.
    • Address inquiries and resolve complaints in a professional and timely manner.
    • Assist clients with individual tasks and ensure their needs are met.
  4. Administrative Tasks:
    • Order office supplies, ensuring an adequate inventory is maintained.
    • Generate and manage invoices for services provided.
    • Handle mailing and shipping of items as required.
    • Assist with writing contracts and ensuring their accuracy.
  5. Advertising and Virtual Reception Service:
    • Create and post advertisements, including Craigslist ads, to attract potential tenants.
    • Coordinate virtual reception services to ensure efficient call management.

Requirements:

  • Previous experience in a similar office management or administrative role is preferred.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Customer service-oriented mindset with the ability to handle various client needs.
  • Proficiency in office software (e.g., Microsoft Office Suite).
  • Attention to detail and ability to prioritize tasks effectively.
  • Knowledge of basic maintenance and cleaning practices.
  • Availability to work on-site during office hours (8:30 am to 5:00 pm).
  • Ability to work independently as the only office manager.
