About your role

We are bringing on an Administrator to oversee the schedule and organization of our Kanata office and to support our Underwriting and Investor Relations teams with administrative tasks. We anticipate this being a hybrid role, in the office roughly 3 days a week and the balance being remote.

What you’ll work on:

- Be seen as the customer service representative and heart of the organization

- As required, handles incoming calls and directs as appropriate to internal recipients

- Fielding client inquiries via phone, email and regular post mail such as discharge requests, penalty inquiries, statement requests, etc.

- Fosters positive relationships with key third party partners including brokers, realtors, appraisers, building inspectors, legal firms, and trustees.

- Prepares the quarterly and annual statements for our clients that are reoccurring or on their request

- Prepares expense books (internal)

- Spearheads and co-ordinates office related scheduling, functions, and appointments

- Assists various departments with a variety of projects (reconciling accounts, assisting with tax reporting and filing, etc.)

- Assists senior management with ad-hoc requests, special projects and new initiatives as required.

- Ensures that all office supplies are ordered on a timely basis

- Responsible for the appearance of the overall office

What you should have:

- Strong organizational skills

- A common-sense approach to decision making

- The ability to determine when to take the right risks

- The courage to make mistakes and learn from them

- Strong interpersonal and communication skills

- The ability to work autonomously and collaboratively

- Proficiency of Microsoft Office suite of products, especially Excel

- Documented proof of being fully vaccinated against Covid-19

- Excellent legal and financial acumen and a broad knowledge of legal, mortgage and investments would be a bonus!
