Employment Type: Full-time: up to 37.5 hours weekly (onsite)
Overview
Canadian Martyrs Parish and Chaplaincy is a vibrant Catholic community serving parishioners and students. We are seeking a dependable and creative Administration and Communications Coordinator who will bring organization, professionalism, and initiative to our daily operations. This position combines administrative coordination with communications and media work that supports the parish’s mission of inviting, forming, and sending disciples of Jesus Christ.
Key Responsibilities
· Provide administrative and communications support to the Pastor/Chaplain, senior leadership team, and other support staff.
· Offer administrative presence and assistance at key parish meetings and community events.
· Welcome and communicate with parishioners, students, and visitors in person, by phone or online; respond to inquiries with professionalism and efficiency.
· Collaborate with parish and chaplaincy staff, volunteers, and ministry leaders to ensure smooth coordination and follow-through on projects.
· Maintain and enhance all parish communication channels - website, bulletin, newsletter, outdoor and indoor signage, and social media - and assist in developing and implementing a comprehensive communications strategy.
· Manage digital and printed communication platforms (displays, QR codes, Google Business page, printed materials) and liaise with printers as needed.
· Support the use of technology-based communication and administrative tools within the parish office, senior leadership team, and broader community.
· Serve as liaison with Canadian Martyrs Catholic Elementary School for sacramental preparation and celebrations.
· Maintain sacramental and parish records, assist with diocesan reporting, and prepare related certificates and documentation.
· Coordinate and update scheduling for liturgical and non-liturgical volunteers; maintain accurate volunteer records in collaboration with the Volunteer Screening Committee.
· Maintain parish and chaplaincy calendars, coordinate room bookings, and assist with scheduling musicians and student ministry rotations.
· Oversee office systems and supplies (office, liturgical, and building-related) and provide basic support for IT, phone, and facility systems.
· Assist in building and supporting a small administrative volunteer team.
· Perform other related duties as assigned by the Pastor/Chaplain.
Skills and Qualifications
· Strong organizational, communication, and interpersonal skills.
· Ability to manage multiple priorities with attention to detail.
· Proficiency with Microsoft Office (Word, Excel, Outlook).
· Familiarity with Canva, Squarespace, or similar creative platforms; openness to learning new tools.
· Comfort with technology and a willingness to implement new systems that improve efficiency.
· Understanding of the mission and structure of the Catholic Church.
· Professionalism, discretion, and a collaborative spirit.
Preferred Experience
· Experience in parish or non-profit administration, communications, or office coordination.
· Background in digital media or graphic design considered an asset.
