Administrative Assistant, Evangelization and Catechesis & Youth Ministry

The Diocese of Hamilton is searching for a full time Administrative Assistant to the Offices for Evangelization and Catechesis, and Youth Ministry.

Reporting to the Director of Evangelization and Catechesis, this position works collaboratively with all Diocesan offices and parishes. Alongside the Director for Evangelization and Catechesis and the Director for Youth Ministry, this person is responsible for supporting the pastoral work of the Diocese through resource support and formation for leaders.

While this is primarily a full-time weekday position, it will require a number of Saturdays each year to support workshops or other Diocesan events.

The position is based in Hamilton with occasional travel throughout the Diocese.

Primary responsibilities

  • Respond to phone calls and email correspondence in the Offices for Evangelization and Catechesis and Youth Ministry
  • Track liturgical inventory (mostly books) and replenish as necessary
  • Support parishes by receiving resource requests and arranging delivery of them
  • Prepare invoices for parishes and individuals requesting resources
  • Prepare printed materials and online documents using a variety of digital tools such as Canva, Adobe and Microsoft Publisher
  • Manage all digital archives and basic webpage development for the Offices for Evangelization and Catechesis and Youth Ministry
  • Assist with ministry formation workshops and preparations
  • Coordinate workshop registrations
  • Prepare workshop packages for participants
  • Manage all registrations of Catechetical Programs and the coordination of the Catechetical Correspondence Program for our Diocesan Parishes
  • Provide support for other offices from time to time

· Other duties as assigned, when required

Requirements

· Post Secondary education in a relevant field preferred

· Good knowledge of Microsoft Operating System, Quickbooks, Adobe and Online Publishing/Record Management Software

· Basic understanding of website management

· 2-3 years of office experience preferred

· Attention to detail - Effective organizational and prioritization skills

· Strong communication and interpersonal skills

· Self starter who can work independently with direction

· A good understanding and respect for Catholic doctrine with a willingness to learn
