Contract: 1 year (extension likely; potential to become permanent)

The Opportunity 

We’re hiring a Corporate Services Systems Assistant to build and run internal operating systems that keep GCL audit-ready, measurable, and easy to operate. You’ll systemize onboarding and training, improve SharePoint structure and document control, automate repeatable workflows in Microsoft 365, and support corporate services reporting (HR/IT/Safety KPIs). 

You’ll thrive here if you’re highly organized, technically confident, calm under pressure, and motivated by building repeatable processes that stick. You’re comfortable stepping into partially documented processes, asking the right questions, and building structure from scratch. You can independently map a process, propose 2–3 options with tradeoffs, ship a first version, document it, and iterate based on measurable outcomes. 

This is not “just admin.” You will help build repeatable internal systems that support scale, clarity, and compliance. You’ll be closing loops: built → documented → adopted → measured → maintained. 

This role is designed to grow into a Business Analyst pathway over 12–24 months as capability and systems maturity increase. 

What You Will Own 

You will own key internal systems end-to-end, including: 

Operationalizing LMS & Training Systems  

  • Operationalize, build and maintain training content, tracking, completion records, and reporting  
  • Tighten structure and usability so training is easy to find, complete, and audit-ready  

Workflow Optimization & Automation  

  • Improve workflows using Microsoft 365 tools (e.g., Forms, Lists, Teams, Planner, SharePoint, Power Automate)  
  • Reduce follow-ups, improve visibility, and standardize repeatable processes  

Configuration of “HRIS / ATS / LMS” 

  • Support configuration improvements that help corporate services run smoothly and enable us to measure corporate service (HR, IT, Safety) KPI’s 

SharePoint Design & Document Control  

  • Improve SharePoint structure, navigation, version control, and accessibility  
  • Keep policies, templates, and processes current and well organized 

Approval rule: Any global change with broad business implications must be documented and approved by your manager.  

Outcomes  

This role is measured on structured execution, not just activity. Within your first 30 days, you will deliver a documented improvement plan — priorities ranked, timelines set, resources identified. From day 31 forward, that plan drives everything. Work moves in stage gates with specific timelines and scope outlined: highest impact first, outcomes documented, next phase unlocked when the prior one is complete.  

If you thrive in ambiguity but can't translate that into a written plan with clear milestones, this role isn’t the right fit. If you prefer reactive support work over building repeatable systems, this role won’t be a fit.

What We’re Looking For 

Must-haves: 

  • Hands-on experience with SharePoint and workflow automation (Power Automate strongly preferred, Power BI dashboards). 
  • Comfort learning new tools quickly is a must 
  • A technical, systems, or analyst mindset (you like building structure, not just “doing tasks”)  
  • Strong attention to detail; comfort working with documentation, records, and compliance tracking  
  • This role handles confidential HR, payroll, and legal documentation. Professional discretion and judgment around information access is non-negotiable 

Nice-to-haves: 

  • Familiarity with any of our existing stack is preferred (Nitro Sign, Canva, and AI-assisted content tools; Gamma, ElevenLabs, etc.)  
  • Experience with HRIS/LMS administration is strongly preferred (Collage HR experience is a plus)  

Reporting To

The Corporate Services Manager sets direction and priorities; this role is responsible for structured execution, follow-through, and documentation of outcomes. Strong independent execution with minimal hand-holding is essential. 

You’ll work closely with the leadership team and senior/middle managers in operations to improve visibility, accountability, and adoption of internal systems. 

We support learning and development (courses/certifications/tool subscriptions) and provide weekly 1:1s plus a full onboarding system.
