Job Role & Responsibilities

The Bookkeeper/Administrative Assistant provides essential financial recordkeeping and administrative support to ensure the smooth and efficient operation of the office.  This role combines bookkeeping duties such as managing accounts, reconciling transactions and preparing financial reports with general administrative responsibilities.  This permanent hourly position requires 5 to 6 in-office hours per day, 5 days a week.  Our family-friendly company provides flexible scheduling to support work-life balance.  This position reports directly to the Office Manager.

This position frequently requires self-directed work and the ability to prioritize tasks.  The successful candidate must also implement and follow established office procedures and best practices.  The employee must demonstrate flexibility and adaptability in a fast paced environment while maintaining enthusiasm and sound judgment.

  • Record daily financial transactions and maintain accurate ledgers.
  • Process accounts payable and receivable in a timely manner.
  • Reconcile bank statements, credit card accounts, and petty cash.
  • Prepare monthly, quarterly, and annual financial reports.
  • Assist with expense tracking.
  • Support preparation for audits, tax filings, and budgeting.
  • Maintain accurate records of invoices, receipts and financial documents.
  • Provide general administrative and clerical support to management and staff.
  • Answer phone calls, emails and handle correspondence professionally.
  • Organize and maintain filing systems (electronic and paper).
  • Support project coordination and general office operations.
  • Proficiency in accounting software.
  • Experience with Sage BusinessVision is an asset.
  • Strong MS Office skills (Excel, Word, Outlook).
  • Excellent attention to detail and organizational skills.
  • Strong verbal and written communication abilities.
  • Ability to multitask, prioritize and work independently.


Qualifications

  • Accounting diploma with 2+ years of bookkeeping and administrative experience (small business or office setting preferred) or an equivalent combination of education, training and experience which provide the required knowledge, skills and abilities.
  • Current criminal background check (Level 1 CPIC)

Work Environment
