Summary of the role: 

Diagram is looking for an Executive Assistant to support our CEO. This role will work closely with Diagram’s support team.

You’ll be responsible for: 

  • Managing the busy calendars of Diagram’s CEO, including scheduling meetings and helping him prepare (e.g., assembling a weekly meeting brief, client presentations, etc.);
  • Aid in the greeting, planning, and scheduling of networking events and lunches
  • Manage the CEO’s administrative needs (e.g., expenses);
  • Maintaining the CEO’s network (e.g., LinkedIn account, contact database);
  • Coordinating travel logistics;
  • Translating between English and French as needed (e.g., our website, external-facing documentation);
  • Writing various texts, emails, documents, memos, etc., on the CEO’s behalf;
  • Helping to plan Diagram’s annual team offsite and other team building activities;
  • Occasionally supporting the calendar management and meeting bookings of Diagram’s Partner group;
  • Supporting HR in the onboarding of new employees.

You will thrive in this role if you:

  • Have a minimum of 3-5 years of experience in a similar role working with senior-level executives in a dynamic, fast-paced environment.
  • Enjoy diversity in your day-to-day work, and approach new challenges with a positive, can-do attitude;
  • Are extremely organized, proactive, and detail-oriented, with an ability to anticipate needs/challenges and act on them accordingly;
  • Are discreet regarding confidential information and have thoughtful judgment on sensitive matters; 
  • Are comfortable with ambiguity  - you’ll be empowered to problem-solve with little guidance;
  • Demonstrate availability and ability to adapt, have a quick turnaround time and good speed of execution.
  • Work effectively under pressure and are at ease managing shifting priorities;
  • Possess excellent written and oral communication skills in both English and French;
  • Are based in Montreal and open to a hybrid work model
