The Opportunity:
Reporting to the Director, Events, the Meetings and Events Coordinator will support the planning and execution of CNA’s annual and regional conferences, member-related events, and Canadian nuclear industry participation in key international conferences. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate will have several years of progressive experience in event coordination and customer service experience. Key Responsibilities:
As the successful candidate you will:
· Plan and coordinate major events including CNA’s annual and regional conferences, member meetings, and industry engagements.
· Support event logistics such as venue bookings, audiovisual, catering, transportation, accommodations, and onsite troubleshooting.
· Coordinate registration and delegate services, including attendee communications, name badges, event kits, and mobile app support.
· Assist in tracking attendance of public office holders attending the conference as delegates or speakers, supporting compliance with applicable codes of conduct for lobbyists.
· Assist with maintaining sponsorship and exhibitor records by tracking commitments, coordinating signage and booth logistics, and ensuring benefits are fulfilled.
· Collaborate with internal teams (government relations, international affairs, communications, policy) to align event content and promotion.
· Maintain and update the centralized annual events calendar, ensuring clear communication of priorities and staff responsibilities.
· Assist with the coordination of Canadian nuclear industry participation in international conferences, including booth design, logistics, and stakeholder liaison.
· Prepare post-event evaluations and reports, gathering feedback and data to recommend improvements.
· Review compliance with insurance, legal, health, and safety requirements across all events.
· Build and sustain relationships with members, sponsors, vendors, and stakeholders, addressing questions diplomatically and escalating issues when needed.
· Assist with special programs such as student initiatives, Indigenous Ambassador Programs, and nuclear-adjacent meetings held alongside CNA events.
· Support financial administration by assisting with vendor invoices, tracking expenses, and reconciling budgets.
Knowledge & Skills Required:
· Post-secondary education in a relevant field (e.g., event planning, business administration, public relations, or marketing), or a certificate in event management, or an equivalent combination of education and experience
· Minimum of 2 to 4 years of progressively responsible experience in event coordination.
· Proficiency in Microsoft Office Suite, SharePoint and virtual meeting platforms (e.g., Zoom, Teams)
· Strong project management, time management, and organizational skills
· Proven ability to manage multiple tasks, priorities, and deadlines in a fast-paced environment
· Excellent verbal and written communication skills
· High level of professionalism and ability to remain calm under pressure and in challenging situations
· Strong interpersonal skills with a commitment to superior customer service
· Customer-oriented mindset with responsiveness to client/member needs
· Demonstrated ability to work independently
· Ability to work collaboratively within a team
· Discretion and ability to handle confidential information with integrity
The following attributes are considered an asset:
· Working knowledge of French
· Previous experience with member associations or similar roles
· Experience with event management software and CRM/membership databases
Working Conditions:
· The successful candidate is expected to work/live in Ottawa and/or the surrounding area.
· Work is in a comfortable office and home office environment.
· The successful candidate is expected to work a minimum of two days per week in the CNA’s Ottawa office. This may change in the future to more than two days per week.
· May be expected to travel outside the Ottawa area on a regular basis to attend meetings with other institutions, conferences, or training venues.
· During travel, working conditions will be restricted to safe and comfortable offices and/or tradeshow/conference venues. Travel would generally be one week or less to attend conferences or trainings, or to support project deliverables.
· Some local, provincial, national, or international travel between the CNA’s client sites or stakeholders may be required.
