Position Description:
We are seeking a Program Lead to provide logistical, administrative and event planning support across various leadership programs and initiatives. The successful candidate will support in the coordination of program delivery and event logistics; help facilitate program workshops and sessions; provide administrative and budgeting support; and actively contribute to the design and delivery of organizational activities.
Key Accountabilities:
- Program Support: Provide administrative and logistical support in the planning and delivery of new and existing programs. Attend and participate in events and activities related to program delivery (some evening and weekend attendance required). Conduct research and analysis to inform the development of content and engagement strategies.
- Stakeholder Engagement: Serve as a primary point of contact and coordination for program volunteers and stakeholders. Schedule meetings and provide general coordination support as needed.
- Administrative Support: Maintain Customer Relationship Management databases (i.e. Salesforce) and ensure that stakeholder information is regularly entered and updated. Using an inclusive customer-focused approach, recommend and implement ongoing improvements to organizational processes.
- Financial Support: Maintain financial records and, with Activation Managers and the Bookkeeper, ensure programs budgets are regularly reviewed and align with forecasts.
- Program Evaluation: Track and assess evaluations and key performance indicators (KPIs) across programs.
- Other: Provide additional support as needed including research and communications support. Support fundraising, stakeholder management, and communications activities as needed.

Required Experience:
- College/university degree or equivalent combination of education and experience
- A minimum of 3-5 years of relevant work experience in the areas of project coordination/management, programming, event planning and/or program administration
- Demonstrated experience supporting the delivery of high-impact programs and events
- Demonstrated experience successfully managing key stakeholder relationships, including external partners and contributors, advisory committees, and/or program participants
- Proven project coordination and project management skills
- Proven success in program evaluation and monitoring, including the development of surveys and focus groups, as well as internal progress reporting
- Experience in research to inform program design, development, and implementation is an asset
Position Details:
- Employment Type: 12-Month Contract with possibility of extension
- Reports to: Director, Activation
- Direct Reports: N/A
- Salary Range: $55,000-64,000 annually with benefits and 3 weeks paid vacation
- Work Environment: CivicAction’s work is a hybrid workplace that combines both in-office and remote work. CivicAction’s physical offices are in downtown Toronto and technology will be provided to support both in-office and remote work. This position may involve some evening and weekend work
