About Changepain
Changepain is a multidisciplinary pain clinic in Burnaby, BC with approximately 75 staff members providing comprehensive chronic pain management services. We combine medical expertise with allied health services in a collaborative healthcare environment. We're looking for a student interested in gaining hands-on experience in healthcare administration while contributing to improving our front desk operations and patient experience.
Position Overview
This co-op position focuses on front desk operations, patient scheduling, and administrative support in a busy pain management clinic. You'll learn healthcare office procedures, work with our EMR system and gain exposure to patient communication and clinic workflows. This is a learning-focused role where you'll receive training and mentorship while contributing to daily clinic operations.
What You'll Do
Front Desk & Patient Coordination
• Greet patients, check them in, and ensure forms and questionnaires are completed
• Answer phone calls and respond to general inquiries about clinic services, hours, and booking procedures
• Escort patients to and from treatment rooms and coordinate with clinical staff
• Maintain a welcoming, professional, and organized front desk environment
Appointment Scheduling & Calendar Management
• Book, reschedule, and cancel patient appointments in our EMR system
• Manage physician schedules, optimize appointment slots, and maintain waitlists
• Process appointment confirmation requests and follow up with patients as needed
• Handle email inquiries related to bookings, cancellations, and rescheduling
Medical Records & Documentation
• Create and maintain electronic patient charts in Telus CHR with supervision
• Ensure accurate data entry and maintain patient confidentiality (PIPA compliance)
• Assist with filing, scanning, and organizing patient documentation
Administrative Support
• Process patient payments for appointments and services
• Assist with intake forms, patient questionnaires, and consent documentation
• Support clinic opening and closing procedures as assigned
• Help identify workflow bottlenecks and suggest process improvements
Learning Opportunities
• Shadow experienced MOAs to learn clinic workflows and best practices
• Receive training on medical terminology, healthcare privacy regulations, and EMR systems
• Gain exposure to multidisciplinary healthcare team collaboration
What You'll Learn

What We're Looking For
Must-Haves:
• Enrolled in a co-op program at a BC post-secondary institution (college or university)
• Studying Healthcare, Medical Office Administration, Business Administration, or related field
• Strong interpersonal skills and comfortable interacting with patients, staff, and healthcare providers
• Professional demeanor with empathy and patience when working with patients experiencing chronic pain
• Detail-oriented with strong organizational and multitasking abilities
• Basic computer skills and comfortable learning new software systems
• Typing speed of at least 40 words per minute
Nice-to-Haves:
• Familiarity with medical terminology
• Previous experience in a medical office, clinic, or healthcare setting
• Experience with EMR systems
• Understanding of PIPA or healthcare privacy regulations
