Reporting to the Publisher, the Office Manager ensures seamless day-to-day operations, maintaining Canadaland’s office and digital business infrastructure, while facilitating a collaborative, positive, and dynamic workplace culture. They work with leadership to create a positive workplace culture and maintain and enhance systems and processes that allow our team to do their best work .
Collaborating with Canadaland’s external Bookkeeper, the Office Manager supports accounting processes like billing, payroll and employee benefits, Accounts Payable (A/P) and Accounts Receivable (A/R). They also support our employees and freelancers throughout their employment cycle, helping people navigate on/offboarding, our internal HR administration, as well as connecting them with appropriate tools for their jobs.
The position requires you to be in office at least 50% of the time. Canadaland is a unionized workplace; however, this role is outside the bargaining unit.
- Oversees the day-to-day on-site operations including landlord relations, upkeep and maintenance of our office, studio, and workshop spaces, management of supplies and equipment, general IT facilitation, and maintenance of health and safety protocols.
- Provides operational and administrative support to senior leadership
- Manages Canadaland’s full suite of accounting, HR, and business collaboration software including backend maintenance, vendor relationships, and continued development and iteration.
- Acts as point of contact for our external bookkeeping resource providing support for duties including: the facilitation of bi-weekly payroll, accounts payable and receivable, union dues payment, expense tracking and reporting, regular remittances, credit card reconciliations, and presentation of financial data.
- Performs Human Resources administration including: recruiting, on-boarding, vacation/benefits/rewards tracking, off-boarding, and the ongoing maintenance of Canadaland’s policies and procedures manual.
- Provides ad-hoc HR support to staff as it relates to policy, conflict resolution and day-to-day workplace issues
- Prepares and executes contracts for freelancers.
- Creates employment memos for staff regarding their salary, benefits, or other HR-related paperwork.
- Plans and executes seasonal social events and team building exercises.
- .Collaborates with management on special projects and initiatives as necessary.
- Other tasks and duties as assigned.
- 3+ years relevant experience in office administration, bookkeeping, operations, HR, and facility management.
- Proficiency with business software and tools including Google Suite, Quickbooks, Slack, and HR software.
- Ability to troubleshoot computer, software, and property management issues.
- Experience in managing business banking, payment processors, cash flow, budgeting, year-end reports, ideally using Quickbooks Online.
- Excellent communication, organizational, interpersonal, and leadership skills.
- Ability to autonomously work under pressure and to deadline, balancing various projects and stakeholders at once.
- A strong sense of responsibility and team spirit, willing to solve problems with efficiency and persistence.
- Proficiency in creating systems to organize workflow, including restructuring spreadsheets to improve data tracking.
- Passion for journalism, media, podcasts, and Canadaland’s mission.
