Position
As the Receptionist, you will play a key role in creating a welcoming and professional atmosphere for our customers. You will be responsible for managing front desk operations and maintaining the Experience Centre (Sales Centre & Design Studio), providing exceptional customer service, and supporting the sales and design teams in delivering outstanding homebuying experiences.
Responsibilities
Front Desk & Client Relations
- Welcome and assist visitors, clients, and vendors, ensuring a seamless experience.
- Answer and direct phone calls and emails to the appropriate department.
- Enhance customer experience by addressing inquiries and directing homeowners as needed.
- Register visitors on the CRM platform.
- Collect visitor registrations.
Administration & Office Management
- Maintain a clean, organized, and client-ready showroom.
- Coordinating inbound and outbound mail, packages, and deliveries.
- Order office supplies and manage inventory.
- Coordinate showroom/vendor requirements and maintain vendor relations.
- Support event planning and marketing initiatives.
- Assist with and troubleshooting office technology.
- File, organize and purge files as required.
- Collect visitor registrations.
Communication & Coordination
- Schedule and confirm appointments with homeowners and internal teams.
- Assist with homeowner communications, including follow-ups on appointments.
- Work with IT to maintain office equipment and technology.
- Assist in processing, recording and transmitting payments for the Design Studio and Sales Centre, including cheques and credit card transactions.
What You Bring
- 1 to 3 years of administrative support experience.
- College diploma in Office Administration or a related field.
- Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Self-motivated; able to work both independently and as part of a team.
- Experience in customer service is considered an asset.
- Familiarity with the homebuilding or real estate industry is an asset.
- Basic understanding of residential construction is a plus.
- Strong organizational and multitasking abilities.
- Familiarity with scheduling digital meetings and troubleshooting office technologies.
