Role Description


The Administrator plays a crucial role connecting all departments through administrative based functions. This role will support BluPlanet Recycling's Sales & Customer Service, Accounting and Operations. The Administrator will report directly to the Business Development Manager.


As a key member of the team, you will liaise with key stakeholders while building effective working relationships throughout the organization. Leveraging problem analysis and problem-solving skills, you will develop, implement, and maintain the administrative systems and processes to support the organization.



Role Responsibilities

  • Management of client onboarding into BluPlanet systems and processes (system data entry; invoicing information; contact information).
  • Build new customers and collection sites in database including pricing, mapping, collection frequency and routing transfers.
  • Managing and executing contract renewals on a proactive and monthly basis.
  • Creating and submitting waste diversion reports monthly.
  • Update client files and profiles in both hardcopy and digital formats as required (i.e.: process client contact information)
  • Maintain the Property Management contact database quarterly.
  • Update client service requirements and documentation annually
  • Answer and direct incoming calls and answer electronic correspondence
  • Management of office supplies, field PPE, and other consumables around the office.
  • Management of third-party contractor and vendor files
  • Record keeping of daily performance management data entry
  • Receive, process, and deliver all incoming mail
  • Prepare daily checks for deposit
  • Process client payments in database
  • Identify missed payments and follow up on receivables
  • Prepare payroll when accountant is on vacation
  • Prepare invoices on a bi-weekly basis
  • Support and coordinate company social events
  • Support and coordinate employee engagement initiatives
  • Support and coordinate health and safety initiatives
  • Develop and maintain communications boards (i.e.: health and safety boards; company information; operations updates).

Role Requirements

  • Some Post-Secondary education considered an asset
  • 3 years’ experience working in a high-volume administration role preferred
  • Proficient in Office 365 and MS Teams
  • Displays strong computer skills with an ability to learn new programs
  • Excellent communicator
  • Professional email and phone etiquette

Compensation & Benefits

  • Salary: $50,000 - $60,000/year
  • Regular Working Hours, Monday to Friday 7am -3pm
