About the Role
The Athlete Institute is seeking a motivated and detail-oriented Event Planning & Operations Intern to join our team in delivering the prestigious All Canadian Basketball Games. This internship focuses exclusively on the planning, logistics, and execution of the event — from announcements and media coordination to venue setup, sponsor activation, and game-day operations.
The ideal candidate thrives in fast-paced environments, has excellent communication and organizational skills, and is passionate about sports event management.
Duration & Location
- Duration: Seasonal Internship (January – April 2025)
- Location: In Person — Athlete Institute, Orangeville, ON
- Compensation: $500/Month Honorarium
- Hours: 24-40 Hours Per Week
Key Responsibilities
1. Event Announcements & Communications
- Support creation and scheduling of official event announcements (game date, watch lists, tickets, player selections, etc.).
- Manage communications with coaches, media, and selection committees.
- Support media credential requests and player announcement logistics.
2. Facilities & On-Site Operations
- Assist in coordinating venue setup, including seating, signage, and branding.
- Help manage logistics for insurance, security, parking, cleaning, and technical setup (Wi-Fi, sound, livestream).
- Track and inventory event materials (chairs, signage, passes, lanyards, etc.).
- Support the coordination of setup/tear-down schedules and facility readiness.
3. Administration & Coordination
- Help with player selection process and event logistics.
- Coordinate volunteer and staff scheduling.
- Assist with creating and distributing information packages and credentials.
- Support hotel and transportation coordination for players, coaches, and VIPs.
4. Hospitality, Food & Beverage
- Assist in planning meal schedules, hydration stations, and athlete/staff snacks.
- Support VIP experience logistics (food, drinks, alcohol licensing, and service).
- Coordinate with vendors for concessions and post-event hospitality.
5. Game Operations
- Support coordination of referees, staff assignments, scripts, and statistical operations.
- Assist in managing game-day logistics including audio setup, livestream testing, changeroom assignments, and giveaways.
- Ensure equipment and technical needs (mics, lighting, etc.) are tested and ready.
6. Media, Marketing & Broadcast Support
- Assist with media accreditation, headshots, and coordination with broadcast team.
- Prepare media folders, rosters, and schedules.
- Ensure all branding, signage, and sponsor assets are properly installed.
7. Sponsorship & Partner Activation
- Coordinate sponsor deliverables, signage, and in-game activations.
- Support fulfillment of sponsor agreements (brand visibility, commercial spots, script reads, etc.).
- Work with marketing team to ensure partner integrations are executed smoothly.
Qualifications
- Currently enrolled in a post-secondary program in Sports Management, Event Planning, Marketing, or a related field.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and social media platforms.
- Ability to work evenings and weekends during event period.
- Passion for basketball and event operations is an asset.
