Overview
The Manager of Client Operations will be the main client contact for all account inquires related to invoicing, budget control reports, and internal set up. This role will work closely with the Chief Client Officer and liaison with Media, Finance and Client teams to ensure accuracy and be responsible to maintain the integrity of the management of client billing, reporting and agency internal system accuracy.
Key Responsibilities:
- Vendor and Client Setup: Managing the setup of new vendors and clients in the system. This includes ensuring all necessary documentation is completed and that systems are updated accurately
- Client Budget Management: Overseeing and managing client budget control reports. Act as control of all client approved Media Purchase Authorization forms. Maintain accurate files and a repository for the paperwork. Monitor expenditures and ensure that all financial activities align with the client approvals received (MPA).
- Client Communication: Acting as the primary point of contact for clients inquires pertaining to invoices/discrepancies, set up and budget control reports. Ensuring clear and timely communication. This involves addressing client inquiries, providing updates, and resolving any issues that may arise.
- Internal Point of Contact: Liaison between media and finance departments to address client invoice inquiries, ensure billing is processed on time, and accuracy of client invoices. Work with the finance co-ordinator assigned to Involved Media business to resolve any client discrepancies. Responsible as well to keeping the Involved Media team updated on any changes related to system or finance process and procedures.
- Support Media Team: Both the online and offline Media teams with system inputs in DDS/Prisma and OX on set ups of vendor codes, client codes, and Job IDs.
- Support Finance Team: Project fact sheet completion by media team for all approved plans. Work with finance and provide instructions on client billing, ensure client PO numbers are received, and finance has all relevant information for billing accuracy.
- Operations: Monitoring of media software needs by the team and standard operating procedures with the purpose of identifying problems and recommendations for process efficiency. Working with AMS Operations team and collaborate on best solutions to bring forward.
- Manage: All agency fee inputs in system and the monthly billing accuracy of the fees (service, production, product, etc.)
Qualifications:
- Diploma or BA degree with a focus in media
- Minimum of 7+ years related work experience in a media agency
- Proficient in Microsoft Office Suite
- Experience with Media Ocean DDS/ Prisma a must. OX or similar media buying/inputting program as asset
- Outstanding communication skills, both verbal and written
- Strong media, financial and analytical skills
- Excellent organizational, planning and problem-solving skills with high level of accuracy

Note:
This hybrid role will require you to be in the Markham office eight days per month; our office is meant to be a space to collaborate and connect with other team members.
Salary:
The salary range for this position is $75,000 - $85,000 per year, and individuals will be eligible to participate in our incentive program.
